A leading school needs a HR Administrator to join the HR & Administration team on an ongoing temporary basis with a view to permanent employment. Please note this role is term time only. The main purpose of this role is to provide support and administration to ensure a high quality, efficient and consistent service is provided to the organization as a whole.
Reporting into the HR Manager, the role will encompass duties including but not limited to:
Recommend amendments to HR policies and procedures.
Prepare weekly, quarterly HR reports as agreed, for the the HR manager
Deal with personnel queries from managers and employees including provision of advice on terms and conditions of employment and on the application of appropriate policies and procedures.
Prepare job descriptions and person specifications for posts and manage the job evaluation process Responsible for updating staffing lists and organization charts
Oversee HR Administration carried out by the PA to the Head Teacher and HR Assistant and assist where necessary
New Starter Process:
* Prepare offer letters/ Employment Contracts
* Co-ordinate and prepare induction schedules
* Make sure that IT equipment and desks are organised for new starters
* Create and maintain new starters’ files
* Ensure that new employees are compliant with the current legislation requirements (criminal record checks where necessary, proof of eligibility to work in the Nigeria );
* Leaver Process:
* Prepare the resignations’ acceptance letters
* Calculate holiday entitlement and provide information for payroll purposes
* Make sure that school property is returned
* Conduct / organise exit interviews
* Ensure that IT access is disabled
* Absence Management:
* Ensure receipt and filing of self-certification forms / medical certificates where necessary
* Follow up on absence queries.
* Producing sickness absence statistics and reports ( Daily, weekly, monthly and termly)
* Occupational help/counselling referrals HR System:
* Maintain the internal HR System
* Ensure that it is kept up to date and accurate at all times
* Ensure that the data is entered on time for the monthly HR presentation
* Manage the absence database and ensure it is up to date at all times
* General Administration:
* Maintain all HR files - filing, archiving etc
* Assist in preparing HR related documents
* Assist in processing payroll;
* Ensure that all policies and procedures are uploaded on the intranet
* Provide administration support to the team
* . Personal Requirements for Role Experience:
* Strong administration experience gained within an HR environment
* Experience in working with dedicated HR system.
* Specific Requirements:
* Good working knowledge of Word, PowerPoint and Excel; * Excellent English written and oral communication skills ;
* Strong administrative skills.
* Ideally you hold a current DBS
* Must be advanced Microsoft user - especially excel
* Qualifications:
* CIPD qualified or part qualified.
* Degree in HR Or Law
