Personal Assistant )PA( to Managing Director
Are you a Superstar Personal Executive Assistant?
We are looking to fulfill an exciting position as Personal Assistant to our busy, entrepreneurial Managing Director.
We are looking for a superstar PA to be based at our Office who will be involved across all aspects of our business, with the primary objective to provide effective administrative support and back up to the Managing Director.
Main responsibilities will include:
• Day to day diary management, Managing all forms of incoming and outgoing communication )phone calls, emails, faxes, etc.(on behalf of the MD
• Analyze incoming and outgoing communication, submissions and reports and prepare and co-ordinate the preparation and submission of summary briefs and reports to the MD as well as commercial department.
• Meet with individuals and others on behalf of the MD to discuss issues and assess and recommend various courses of action.
• Liaise with departmental and corporate staff and with other organizations and associations on behalf of the MD.
• Organising meetings and event management as required. Also Co-ordination of agenda papers for Management level meetings
• Maintaining corporate files, staff files and new staff inductions
• Personal meet and greet of the corporate visitors including customers and suppliers
• Travel Arrangements
• Assisting in the preparation of presentations and minute taking
• Arranging meetings with customers and suppliers as required for the MD
• Liaising between other staff and the MD
• Preparing letters, reports and correspondences in professional way
• Maintenance of office equipments and provisioning of IT consultants )if required(
• Provide assistance to the commercial department )as required(
• Other traditional PA duties as required
The successful applicant must be able to demonstrate the following characteristics obtained via experience in similar previous roles
• A bachelor's degree in social science, English translation, business, art or other disciplines is required
• The candidate must reside in Tehran preferably west, north or north west of the city
• Sense of professional presentation with excellent English and Farsi written and verbal communication skills
• Excellent time management and perfect attention to details
• Ability to prioritize and work to deadlines if required
• Maintain the strictest confidence of the MD and CEO at all times
• Possess a 'can-do' attitude and be pro-active in seeking solutions to problems
• Above average skills with Microsoft Office )Outlook, Word & Excel(. Being familiar to other programs are an advantage but not essential
• Ability to work autonomously
• An understanding and willingness to support the work culture of the corporate
• Previous experience within the International trade specially food and beverage industry would be highly regarded.
