Job Description
Keeping up-to-date contact details (i. e.
names, addresses and telephone numbers) that
are useful to the organisation.
Keeping a record of the organisation's activities
Keeping a diary of future activities
Carrying out the day-to-day duties of front
desk reception in order to ensure the smooth and
efficient running of the switchboard, answering
telephone calls in a timely and efficient manner,
transferring calls as necessary and dealing with
general enquiries
Reviewing and disseminating incoming faxes as
necessary, and assisting with outgoing faxes as
time permits.
Ensuring, as far as possible, that complaints
and concerns that you may receive are attended
to speedily and satisfactorily
Welcomes visitors by greeting them, in person
or on the telephone; answering or referring
inquiries.
Directs visitors by maintaining department
directories
Maintains security by following procedures;
monitoring logbook and issuing guest tags
Maintains safe and clean reception area by
complying with procedures, rules, and regulations.
Maintains continuity among work teams by
documenting and communicating actions,
irregularities, and continuing needs.
Contributes to team effort by accomplishing
related results as needed.
Canceling or rescheduling appointments,
ordering office supplies, taking notes
Typing and word processing To execute some
other tasks that circumstances may require
SKILLS, QUALITIES AND QUALIFICATIONS
Reading Comprehension - Understanding
written sentences and paragraphs in work related
documents.
Telephone skills, verbal communication,
excellent Microsoft Office skills (especially Word,
Excel, PowerPoint and Access) and high level of
professionalism
Excellent use of the Microsoft Word with an
average of 40 WPM
Must be client-focused and possess
organizational and supply management ability
Avid listening - giving full attention to what
other people are saying, taking time to
understand the points being made, asking
questions as appropriate, and not interrupting at
inappropriate times
Smart appearance, friendly and confident
Ability to stay calm under pressure
Good organizational and basic IT skills and
ability to handle emails professionally
Ability to be polite but firm when dealing with
difficult, impatient or upset people
Dependable, ability to multi-task, prioritize and
solve problems
A FEMALE not older than 25 years
Possess a minimum of HND/Bsc (2:2 or its
equivalent) in any of the arts, management or
social sciences from a reputable higher institution
Possession of other qualifications/skills will be
an added advantage
Experience: 0 – 2
